Short, practical answers to "how does this thing work?" — covering every shipped feature in the app.

Basics

Build your first list

Lists work entirely on-device. No account, no sign-up, no spinner — just open and start.

  1. 1 Tap the + button on the Lists screen.
  2. 2 Give the list a name, pick an icon, and choose a color.
  3. 3 Start typing items. Hit return to add the next one.
  4. 4 Items group automatically into the right aisle / category as you go.
  • Sign in later if you want cross-device sync or sharing — your existing lists come with you.

Add items fast with Quick Add

Type the whole line the way you'd write it on paper. Nabsy parses the product, quantity, notes, and special tags for you.

  1. 1 Type something like "2 dozen large organic eggs 🔥".
  2. 2 The smart suggestion appears at the top, marked with a sparkle.
  3. 3 Tap it to add — Nabsy fills in product (Eggs), notes (2 dozen · Large · Organic), and the urgent tag.
  • The raw "add exactly what I typed" option is always available below the smart suggestion, so you can override.
  • Toggle Quick Add anywhere in Settings → Shopping Experience.

Check off, edit, and delete

Tap to check off. Swipe for actions.

  1. 1 Tap an item row to mark it purchased — it moves to the Recently Used section.
  2. 2 Swipe left for delete; swipe right for edit.
  3. 3 Long-press for the full action menu (duplicate, move, tags, notes).
  • Restore everything you just bought from the section menu on "Recently Used" → Restore All.

Smart features

Smart Pantry — what the colored dots mean

Smart Pantry uses your purchase history (and a per-product rebuy interval) to estimate whether you still have something.

  • Green — you likely still have it.
  • Yellow — you may need it soon.
  • Red — you're likely out.
  • No dot — not enough history yet to call it.
  • Toggle it on or off in Settings → Shopping Experience → Smart Pantry. When off, no dots and pantry-aware ranking disappears.

The Likely Out sheet

A one-tap surface of products you're statistically out of, opened from the Quick Add footer at the bottom of any list.

  1. 1 Open a list and scroll to "Quick Add" near the bottom.
  2. 2 Tap "Likely out" on the right.
  3. 3 Tap any item to add it to the current list.

Top Products & Recently Used

Nabsy learns which products you actually buy and surfaces them as quick-tap chips.

  • Top Products lives in the list footer and ranks by frequency + recency (with a pantry-aware nudge when Smart Pantry is on).
  • Recently Used is the wavy-divider section above the divider — purchased items from this list, grouped together.

Notes that turn into tags

The notes field on every item is parsed. "2L, organic, low-fat" becomes three tag chips while keeping the original text.

  • Use commas to separate phrases — the parser splits on them.
  • Special markers like 🔥 (urgent) and 💰 (on-sale) bubble up onto the list card so the whole list shows them at a glance.
  • Frequently-typed phrases become Learned Tags after a threshold — see Settings → Data → Learned Tags.

Sharing & roles

Owner, editor, viewer

Three roles control who can change what.

  • Owner — manages the list, items, members, and share links.
  • Editor — can add, edit, check off, and delete items.
  • Viewer — read-only. Great for grandparents or non-cooks who just want visibility.
  • Owners change roles or remove members from list settings.

Push notifications

Per-list opt-in. Nabsy stays quiet when you don't need it.

  • Toggle push for any shared list in list settings → Notifications.
  • You'll never get pushed for actions you took yourself.
  • You won't be notified while you're actively viewing the list.
  • Multi-item bursts get coalesced — e.g. "Lena added 4 items to Weekly Groceries".

Organizing

Folders

Group lists together — by household, project, season, whatever.

  1. 1 From the Lists screen, open the menu and create a folder.
  2. 2 Drag lists into it, or add from the list's own menu.
  3. 3 Folders themselves can be reordered.
  • Free plan: 2 folders. Premium: unlimited.

Templates

Save any list as a reusable template — your weekly staples, your hosting kit, your camping pack.

  1. 1 On a list, open the menu → "Save as template".
  2. 2 Apply that template to any new list from the New List sheet, or directly from a list via Template Selector.
  • Free plan: 2 custom templates. Premium: unlimited.
  • Built-in inspiration templates (Fresh Start, Weeknight Dinner, Coffee Run, Hosting Night, Reset Day) are always free.
  • Hide inspiration templates from the main list screen in Settings → Inspiration Templates.

Custom categories

The built-in aisles cover groceries, household, personal care, and more. Add your own when you need them.

  1. 1 Settings → Manage Categories.
  2. 2 Tap + to add. Pick a name, color, and icon.
  • Free plan: 3 custom categories on top of the built-in set. Premium: unlimited.

Units — metric, US, UK

Pick the measurement system you actually shop in. The default comes from your device locale.

  1. 1 Settings → Units.
  2. 2 Choose Metric (g, kg, mL, L), US (oz, lb, fl oz, cup), or UK (g/kg with pints).
  • Switching changes future suggestions only. Items already on a list keep the unit you originally typed.
  • Pieces (1 pack, 6-pack) and specific-unit tags (1 loaf, 1 dozen) are the same across all systems.

Sync & accounts

Offline-first

Every change is written to your phone immediately. You never wait on the network.

  • Add items, check them off, edit notes — all work with airplane mode on.
  • The moment you're back online, queued changes drain in the background. Conflicts on shared lists merge automatically.

Sign in for cross-device sync

Sync is free. You can keep using Nabsy without an account; you just won't have backup or shared lists.

  1. 1 Settings → tap your profile chip at the top.
  2. 2 Choose Apple, Google, or continue anonymously.
  3. 3 Your existing local lists merge into your account on first sign-in.

Force a sync

Pull down on any list to trigger a sync. Useful when you're actively coordinating with someone.

I lost my phone. How do I get my lists back?

If you were signed in, install Nabsy on the new device and sign in with the same provider. Your lists, templates, and shared lists sync down.

  • Local-only lists (never signed in, never shared) live only on the device — there's no cloud copy to restore.

Premium

What Premium unlocks

Most of Nabsy is free forever. Premium lifts caps on the four things you'd hit if you organize at scale.

  • Owned shared lists — go from 1 to unlimited.
  • Folders — go from 2 to unlimited.
  • Custom templates — go from 2 to unlimited.
  • Custom categories — go from 3 to unlimited.
  • Cloud sync of your own lists is free. People you invite to your lists never pay.

Manage or restore

Subscriptions are billed through the App Store / Play Store.

  1. 1 Manage or cancel: Settings → Manage Subscription, or your platform's subscription settings.
  2. 2 Restore on a new device: Settings → Restore Purchases.
